Exhibitor Instructions


Instructions for shipping your booth and materials can be reviewed by clicking on:  Shipping Information  All shipments must be received by Exhibits, Inc. no later than Tuesday, November 12.


Your exhibit space includes:

  • 8’ x 10’ Exhibit Space
  • One 6′ skirted and draped table
  • Two chairs
  • Each booth is separated by an 8′ backdrop with 3′ side rails, standard pipe and drape
  • The exhibit space floor is carpeted

As a reminder, all other items specific to your space, (i.e. electrical (including an outlet), audio visual needs, drayage costs etc.) will be your responsibility to order, via the following forms:

  • BOOTH ITEMS (furniture, etc.): A form for ordering additional booth items can be accessed here: Booth Items Form

In order to receive the discounted rate on booth items you must submit and pay for your order by Friday, November 8.

  • ELECTRICAL, INTERNET AND AV: To order Electrical, Internet or Audio-visual for your booth please print and submit this form: AV, Electrical Internet Form.  

Order must be received by Friday, November 8.

Please follow the instructions and submit to the parties noted on each form.


The exhibit hall is in Salons 1 – 3 of the Arlington Ballroom, located one level above the Lobby on the first floor. The closest parking deck is the hotel garage (6’ max).

  • SMALLER POP-UP EXHIBIT: If your booth is a simple pop up, or similar, that does not require the use of the loading dock, the hotel recommends that you park in the hotel garage. If you park on a different level in the parking garage, take the elevator to the Lobby for easiest access to the Arlington Ballroom. If you are accessing the hotel from street level (not from the parking garage), the ballroom is on the first floor.
  • LARGER EXHIBIT: If your booth is more elaborate, please email Nancy Crowe (ncrowe@convention-connections.com) and copy Marty Malloy (mmalloy@convention-connections.com) to make arrangements in advance.

It is highly recommended that you bring your own cart for moving your items to/from the exhibit area.


Monday, November 18

6:00 am – 11:00 am

You must be set up and ready when the exhibit area opens at 11:00 am on Monday.

IMPORTANT NOTE: The exhibit hall will not be available for advance move-in on Sunday.


Tuesday, November 19

2:30 pm

You may begin tearing down your exhibit after the lunch ends at 2:30 pm.
